Upper School Receptionist PT (starting August 2024

St. John’s School is seeking a dedicated Upper School Receptionist to join our administrative team. The ideal candidate will be responsible for providing exceptional support to the School community, both in person and through electronic communication. Duties include managing Upper School student attendance, running background checks/creating parent and visitor badges, managing lost and found items, and welcoming guests in the Head of School reception area. 

Primary Responsibilities:

  • Manage Upper School attendance and its various components:
    • Respond to parent emails and phone calls regarding student attendance matters.
    • Record student absences, late arrivals, and early departures in the attendance system.
    • Communicate with students, parents, and faculty regarding unresolved absences.
    • Follow up with teachers regarding unsubmitted attendance.
    • Compose attendance reports for the Assistant Dean of Students.
    • Communicate with the Academic Dean and Director of Clinical Services regarding attendance issues and trends.
    • Pre-record known absences and early dismissals.
    • Assist students with sign-in and sign-out procedures.
    • Monitor and maintain student sign-in/sign-out spreadsheets. 
    • Demonstrate excellent written, verbal, and interpersonal skills to address inquiries from parents, students, faculty, and staff. 
    • Maintain confidentiality of information received, and convey urgent matters to administrators team as needed.
    • Exhibit professionalism in all interactions with the School community and outside individuals.
    • Greet and assist visitors, parents, and vendors.

Qualifications:

    • College degree preferred
    • Minimum of 2 years’ experience in an office setting, preferably in a school or large organization
    • Exceptional communication skills, including speaking, spelling, grammar, and composition. 
    • Superior critical-thinking skills, accuracy, and attention to detail. 
    • Proficient in Google Sheets, Google Docs, database management, typing, and data entry. 
    • Ability to set priorities, take initiative, meet deadlines, and multitask in a fast-paced environment.
    • Demonstrated poise, tact, diplomacy, and compassion.
