Fine Arts Administrative Assistant (Long-Term Substitute)

St. John’s School seeks a talented and highly organized Administrative Assistant to support the Fine Arts Department.  The candidate for this position will be part of a closely-knit team and must be able to flourish in a high-energy, fast-paced school environment. This position reports directly to the Director of Fine Arts. The ideal candidate will be responsible for providing exceptional support to the School community, both in person and through electronic communication.
Primary Responsibilities:
  • Act as the primary point of contact between the Fine Arts Department office and internal/external stakeholders, including faculty, staff, parents, and community members.
  • Assist with the planning and execution of major school events and special projects.
  • Provide support for budget tracking and expense reporting.
  • Assist in managing the Fine Arts calendar, including scheduling appointments, coordinating meetings, and booking locations.
Qualifications:
  • Bachelor’s degree preferred
  • 3+ years’ administrative office experience in a customer-service oriented, professional environment. Experience in an educational environment is preferable.
  • Strong written and verbal communication skills.
  • Exceptional organizational, time-management, and multitasking abilities.
  • Proficiency in Microsoft Office Suite, Google Workspace.
  • Experience with accounting software and spreadsheets.
